Managing Actions

Recommended and Preventive Actions are used to reduce or eliminate identified risks within your FMEA analysis. These actions help teams document mitigation strategies, track progress, and ensure accountability for risk reduction activities. 


You can manage Recommended or Preventive Actions in several ways within the worksheet. 


Create Actions

  • Add a Recommended or Preventive Action directly within the appropriate row of the worksheet.

  • Assign responsibility, define the action details, and specify the target completion date.

  • Actions help document how risks will be addressed or mitigated.


Ways to Create Actions

Actions can be created from several locations within the system:

  • Analysis Matrix
    After identifying a high-risk item in the Analysis Matrix, you can create an action directly from the selected item.

  • Worksheet Row
    Actions can be added within the action section of the applicable worksheet row.

  • Worksheet Row Menu (Three-Dot Menu)
    Actions can also be created using the three-dot menu located to the left of the row, which is visible at all times.

These options allow users to quickly create mitigation actions from wherever risk is identified within the analysis workflow.



Identify Rows with Pending Actions 

  • Rows that contain pending or incomplete actions are marked with a red flag indicator displayed beside the Worksheet Row Menu (Three-Dot Menu)

  • This visual indicator allows teams to quickly identify rows where mitigation activities are still in progress, making it easier to track outstanding actions and ensure risks are being addressed. 


Track Action Status 

  • Monitor the progress of actions as they move from Open to Completed using the Risk Management Suite. Select the Recommended Actions button to view and manage all actions associated with the worksheet. 

  • This section displays all actions, both completed and pending, organized by worksheet row, providing full traceability of mitigation activities and allowing teams to easily track progress and follow up on outstanding tasks. 


View Row History 

  • Access the Row History from the Worksheet Row Menu (Three-Dot Menu) > Recommended Actions > History option to review previously completed actions and past updates associated with a specific row. 

  • This feature provides traceability for decisions, changes, and mitigation activities made during the FMEA analysis for that row, helping teams understand the evolution of the analysis over time. 


Update Risk Ratings After Actions 

  • Once an action has been completed, reassess the Severity, Occurrence, or Detection values to determine the revised risk level.

  • The latest revised rating will appear within the Recommended/Preventive Actions section of the worksheet. The original score is preserved for reference, allowing you to track progress over time. 

  • This ensures teams can verify whether mitigation activities have effectively reduced the risk and maintain a clear audit trail of risk reduction efforts. 



Recommended and Preventive Actions ensure that risks identified in the FMEA are actively managed, documented, and reduced through structured mitigation efforts.
